Adding from the master list
- Open the register and select Add From Master List.
- Search or browse and select the substance(s) you need.
- Confirm to add them.
What the "Linked to Master Register" label means
A substance added this way is a copy of the one in your organisation's Master Register, and it stays linked to it. Linked substances show a Linked to Master Register label next to their status in every view of the register, and at the top right of the Basic Information section when you open the substance. Hover over the label for a reminder of what it means.
While a substance is linked:
- When someone edits the master substance and chooses Update in the "Update Items" prompt, the details that were changed flow through to this copy.
- If the master substance is deactivated, this copy is deactivated with it.
Renaming or editing the copy itself does not remove the link.
Unlinking a substance from the Master Register
If a copy has taken on a life of its own — for example you have re-purposed it as a different substance — you can detach it so Master Register updates no longer affect it.
Either:
- Open the substance, click the Linked to Master Register label at the top right of Basic Information — it changes to Unlinks from Master Register on Save (click it again if you change your mind) — then Save. The label disappears once the substance is saved.
- Or, on the substance's row, open the actions menu (or hover over the row, or right-click it), select Unlink from Master Register and confirm.
After unlinking:
- The substance keeps all of its details exactly as they are.
- Updates to the master substance no longer reach it, and deactivating the master no longer deactivates it.
- Adding the same substance from the master list again will not create a duplicate.
Unlinking cannot be undone from the register. If you need the link back, delete the unlinked copy and add the substance from the master list again.
