SMS text message limits & usage

System AdministrationFor adminsVerified 1 Oct 20264 min

When your company has the SMS add-on, Teammate can send a text message (SMS) to a host when their visitor signs in at one of your OnSite locations. Your company has a monthly SMS allowance. You can check your usage at any time, and Teammate emails your main system administrator before and when the allowance is used up.

What Teammate sends texts for

OnSite visitor alerts — when a visitor signs in at a location that has Enable sending SMS to host turned on, the person they’re visiting gets a text. Every one of these texts counts towards your monthly allowance.

How your monthly allowance works

Your plan includes a number of texts per OnSite location each month. Your company’s allowance is that number multiplied by your active OnSite locations — for example, 300 texts per location × 10 locations = 3,000 texts a month. The allowance is shared: any of your locations can use it, so a busy site can use texts a quiet site doesn’t need.

The allowance covers one calendar month and resets automatically on the 1st of each month. Months are counted in UTC (Coordinated Universal Time), so in New Zealand the new month starts partway through the day on the 1st rather than at midnight.

Your limit is set by the Teammate support team — it can’t be changed from within your account. Only texts that are actually sent count: if a text fails to send, it isn’t counted.

Checking how many texts you’ve used

  1. Go to System Administration → Subscription.
  2. Find the SMS messages this month card. It shows the texts sent so far against your allowance (for example 120 / 3,000), a progress bar, and the limit per location with your number of locations (for example 300 per location × 10 locations).
  3. Under SMS by location, the card lists each of your OnSite locations with how many texts it has sent this month.
  4. If any texts weren’t sent because the allowance was used up, the card also shows how many — for example “12 not sent (limit reached)”.

If no monthly limit has been set for your company, the card simply shows how many texts have been sent this month, with no progress bar or badge.

If your company doesn’t have SMS

SMS is an optional add-on. If it isn’t switched on for your company, the Subscription tab shows an SMS messages card marked Add On Option instead of usage. To add SMS to your plan, email support@teammateapp.com.

What the badges mean

BadgeWhat it means
Within limitYou’ve used less than 80% of this month’s texts.
Almost at limitYou’ve used 80% or more of this month’s texts.
Over limitThe allowance has been used up. No more texts are sent until the 1st of next month.

Emails you’ll receive

Your company’s main system administrator receives up to two emails a month — each is sent once, the first time the point is reached:

WhenEmail subject
80% of the allowance usedSMS usage warning: has used 80% of this month’s texts
Allowance used upSMS limit reached: texts are paused until <1st of next month>

What happens when the allowance is used up

Texts are paused for the rest of the month. Everything else keeps working normally: visitors can still sign in at your OnSite locations — only the text to the host is skipped. Texts start sending again automatically on the 1st of next month.

While texts are paused, hosts won’t get an SMS when their visitor arrives. If that matters for your sites, let hosts know to check the visitor register, or ask us for a higher limit.

Getting a higher limit

Email support@teammateapp.com and tell us how many texts a month you need. If we raise your limit partway through a month, texts start sending again straight away — you don’t have to wait for the 1st.
