This is being switched on company by company. If contractors at your sites still see the older sign-in form, with a free-text company box and no “Signed in here before?” section, ask Teammate support to switch it on for your company. Your QR posters and sign-in links do not change and do not need reprinting.
What contractors see when they scan the QR code
The contractor sign-in form now has two parts. Signed in here before? sits at the top for returning contractors. Below it, Your details has a Company picker that searches your registered suppliers, the companies listed under External Parties.
Everything else about signing in works as before: questionnaires, policies and the entry in your visitor register.
Signing in as a returning contractor
- Scan the location’s QR code (or open its sign-in link) and go to the contractor sign-in.
Under Signed in here before?, enter the mobile number and surname you used during your previous sign-in, then tap Find my details.
The system will search for a previous sign-in that matches both your mobile number and surname exactly.
If no matching record is found, the following message will appear:
“We couldn't find a previous sign-in with those details. Please fill in your details below.”
You can then enter your details manually to continue signing in.
- Check the Welcome back details. If they are not yours, tap Not me to clear them and fill the form in instead.
- Tap Continue and complete any questionnaire or policy steps as usual.
Signing in for the first time, or choosing your company
- Under Company, tap Tap to search for your company, type the first letters of its name and choose your company from the list.
- If your company is not listed, choose Company not in list — proceed anyway and type the name.
- Enter your full name, phone number and email, then tap Continue.
What changes in your visitor register
When a contractor picks a registered company, their entry in OnSite → Visitor Register shows that company’s name. A company name that was typed in still appears as “Unknown (name)”, exactly as it did before, so you can spot companies that should be added under External Parties.
Keep your supplier list under External Parties up to date. Contractors can only pick companies that are on it.
The contractor entered their company name manually instead of selecting it from the list. This may be because the company has not yet been added under External Parties, or they selected Company not in list — proceed anyway.
To ensure the correct company appears in future sign-ins, add the company under External Parties. The contractor will then be able to select it from the registered company list the next time they sign in.
